“Person Datsheet” Vs. “Case DataSheet”Judicial/Dialog is a person/case-centric application broken down into two types of customizable “datasheets.” The “Person Datasheet” is designed for recording biographical information about an individual, while a “Case Datasheet” is used to manage specific details about a case. Together these datasheets provide end users with the resources needed to manage every piece of information about their cases and the individuals who are involved with their cases. The Person Datasheet Significant to reducing the amount of data entry work that bogs down every office, the “Person Datasheet” requires that biographical information about an individual be entered into the application only once after which an individual’s “Person Datasheet” can be easily associated with any number of cases. Once linked to a case, an individual can be assigned a role (i.e., defendant, witness, prosecuting attorney, public defender, police officer, friend, family member, etc.), which can vary from case to case. In addition to being used organize the biographical information about an individual, a “Person Datasheet” benefits end users by enabling them to review a person’s entire legal history on one page. The “Legal History” window located on the “Person Datasheet” identifies all the case that an individual is associated with as well as his or her role with each of case. Using Judicial/Dialog, end user no longer need to hunt through stacks of old case folders to find information about a person’s legal history. The “Legal History” window can also be used to track other valuable information like an individual’s gang affiliations, warrant history and bond records. The Case Datasheet In an effort to ensure that the case management resources found within Judicial/Dialog are the best available, the company’s development team spend a tremendous amount of time listening to the needs and suggestions of prosecuting attorneys, public defenders and others before the application’s “Case Datasheet” was designed and developed. As a result the application’s “Case Datasheet” is the most comprehensive resource for managing information pertaining to a judicial proceeding or case. Not only does the “Case Datasheet” allow for basic case information to be managed, it provides end users with the ability to track anyone that has been associated with a case as well as the events, charges, documents, emails and multimedia files that are related to a case. By combining support for criminal, juvenile and civil cases in one application, Judicial/Dialog ensures that end users can quickly and easily access the case information they need without having to waste time switching form one case management system to another. As we all know, the information that an end user needs to manage for each case varies significantly according to the case type. This important factor was taken into consideration when Judicial/Dialog was designed and as a result, the data fields that are included on each “Case Datasheet” vary by case type. For example, a prosecuting attorney that is using the application to manage charges as well as conviction and sentencing information for a criminal case will not see data fields for such information when using the “Case Datasheet” that has been designed for civil cases as there is no need to track charges, convictions and sentencing information in a civil case.
Manage Schedules, Calendars and EventsJudicial/Dialog was developed not only with the resources for managing case-related information, but also with features that enable end users to do there jobs with greater efficiency and effectiveness. One of those features is the application’s ability to aid in the management of case-related events. Included in Judicial/Dialog is an Event window on which end users can list all case-related events such as arraignments, hearings, trials start and end dates, witness/victim interviews, disposition announcements and sentencing dates. Details related to these user-defined events, like the event’s date/time, status, result and address/location, can tracked on the Event window making it single most authoritative source of information about to the proceedings that comprise a case. Additionally, Judicial/Dialog is unlike other case management systems that only allow individuals to be associated with the case in general, in that it allows specific individuals to be associated with specific case events. This feature, in combination with the application’s integration with Outlook and GroupWise, enables agencies to establish office calendars to better manage their resources while also allowing individuals to schedule events on their personal calendars. Another powerful event management feature of Judicial/Dialog is its ability to automatically notify an end user of an event based on the event type and the end users role in the case. For example, the application can be used to notify an investigator that has been assigned to a case about an interview when it is scheduled by a witness coordinator. Along the same lines, Judicial/Dialog can be configured to automatically calculate an event deadline based on the date of another case event. For example, the law within a certain jurisdiction might require that an arraignment be held within 72 hours of an individual’s arrest. In such a situation, Judicial/Dialog could be configured to automatically calculate the arraignment deadline and schedule it based on the arrest date that has been entered into the application. The arraignment deadline that is automatically calculated by Judicial/Dialog can be easily edited when the actual arraignment date is determined. The power of Judicial/Dialog’s event management features are further enhanced by the application’s integration with Microsoft’s Outlook and Novell’s GroupWise calendaring programs. Because Judicial/Dialog is tightly integrated with these applications, end users can notify selected case parties about specific case proceedings by sending them event notices to their Outlook or GroupWise accounts. Once they are in receipt of an event notice, an individual can simply accept the event notice at which time it is automatically added to their Outlook or GroupWise calendar. Given that Outlook and GroupWise allow for the establishment of shared calendars, an office can copy all case events to a single calendar from an authorized individual can review the events associated with each case as well as the availability of all office resources.
Document Generation and ManagementWhen it comes to document generation and management, all other case management solutions take a backseat to Judicial/Dialog. The document generation features of Judicial/Dialog give end users the ability to easily and quickly build reusable templates for documents like subpoenas, information letters, and indictments which can be automatically populated with case information using the application’s merge function. Once a template is populated with case information, it is automatically linked to the appropriate “Case Datasheet” and saved as a completed document which can be easily accessed and reused as necessary. To create document templates, an end user begins by typing the template using Microsoft Word or Corel WordPerfect and then simply “drag-and-drop” items from a list of Judicial/Dialog database fields into the template where appropriate. Once all database fields have been added to the template, the end user can use all of the functions of Word and WordPerfect to format or customize templates with special fonts, colors and paragraph styles, etc. Additionally, office logos, pictures and standard headers/footers can be added to the template. As for populating templates with case information, Judicial/Dialog makes it simple for end users with the application’s intuitive merge function. Not only does the merge function allow end users to run “single document” and “batch” merges with a single mouse click, it ensures that all merged documents are automatically saved with the appropriate “Case Datasheet” along with information about who created the document and the date and time when it was created. The merged documents that are associated with a case can be easily accessed, reused, reformatted, printed and/or sent as an email attachment.
